SheetPros PRIVACY POLICY

We take your privacy seriously and will only use your personal information to administer your account and provide the products and services you request from us. We DO NOT share personally identifying data with any third party for marketing purposes, except to share with you information about our new services and applications.

(Note that “you” here means a person or company utilizing applications or services provided by SheetPros)

WHAT INFORMATION DO WE COLLECT, AND WHY?

When you sign up for one of our web applications or services (or our mailing list), we require an email address. This is used to identify your account and get in touch with you. While you use SheetPros Apps or services, we collect data to record how you use the product. This includes pages you visit and actions you perform (such as creating, editing, and running SheetPros Apps). We do this to improve the product (for example, identifying where people get stuck) and to identify active and inactive accounts.
We record IP addresses accessing SheetPros resources to record the approximate (city-level) location of SheetPros users to manage and scale our infrastructure and prevent abuse. When you open marketing emails, we track when you open them (if you have image loading enabled). We do this to see what is and isn’t interesting to our customers and to avoid sending unwanted emails. You can opt out of marketing emails at any time by clicking “Unsubscribe” at the bottom of any email from us.
To help us manage our systems, we keep diagnostic logs. These may include information like email addresses or other data used for system debugging. We use these logs for managing and debugging our software and services, and we delete them after 90 days.
We also store backups of all this information (apart from the diagnostic logs) to help with disaster recovery.
You can choose not to provide this information (or to ask us to delete it), but without it, we will not be able to provide you with the SheetPros services.

WHO DO WE SHARE YOUR INFORMATION WITH?

We share your email address with our email provider (Microsoft Corporation) as part of sending email to you. We use Google Analytics (on the SheetPros website and certain app components), but no personally identifying information is shared with them.
For applications that have OpenAI tools enabled, OpenAI has access to the information shared with the app. This is specific to Custom GPTs built by SheetPros and accessed through the GPT interface.
Our sub-processors include GCP sub-processors, AWS sub-processors, and Azure sub-processors.
Contact information is stored in HubSpot exclusively for our internal use. No other data is stored or shared whatsoever.

LEGAL BASIS FOR PROCESSING (GDPR)

We process your personal information based on the following grounds:

  • Contractual necessity: To provide our services.
  • Legitimate interest: For the improvement of our products and prevention of abuse.
  • Consent: For marketing communications (with opt-out options).
  • Legal obligation: For compliance with applicable laws and regulations.

HOW IS YOUR INFORMATION PROTECTED?

We adhere to SOC 2 standards, ensuring strict controls to maintain the security, availability, processing integrity, confidentiality, and privacy of customer data.

  • Encryption at rest: By default, all information stored by SheetPros is encrypted at rest, ensuring that data is protected from unauthorized access or breaches.
  • Encryption in transit: All communications between our systems and between our systems and external parties are encrypted using strong encryption protocols, such as TLS, to protect your data.
  • Access controls: Only authorized personnel with a legitimate business need are given access to personal information, and all access is logged and monitored.

INTERNATIONAL DATA TRANSFERS

If any of our sub-processors (e.g., AWS, GCP, Azure) process data outside of the European Economic Area (EEA), we ensure that appropriate safeguards, such as Standard Contractual Clauses (SCCs), are in place to protect your data during international transfers.

YOUR DATA PROTECTION RIGHTS

Under GDPR and CCPA, you have the following rights:

  • Information: You should know what we’re collecting and why. This policy explains that.
  • Access and Portability: You should be able to get a copy of the data we hold about you in a machine-readable format so you can move it to another service.
  • Rectification: If any information we hold about you is incorrect, you have the right to correct it.
  • Erasure or Restriction: Upon request, we will delete all information about you from our database unless we have a valid reason to keep it (e.g., abuse prevention). For technical reasons, it’s infeasible to remove your information from historical backups; instead, we’ll store the fact that you’ve requested erasure and make sure to delete the data if we ever restore those backups.
  • Objection: You can object to our processing or retaining your data at any time.

COOKIES AND TRACKING

We use cookies and similar technologies to analyze user behavior and improve our services. By using our website or applications, you agree to our use of cookies. You may control cookies through your browser settings or opt out via our cookie consent banner, which appears when you first visit our site.

CHILDREN'S DATA (COPPA)

Our services are not directed at children under 13, and we do not knowingly collect data from them. If you are a parent or guardian and believe we may have collected information from a child under 13, please contact us at privacy@sheetpros.com, and we will take steps to delete the information.

CHANGES TO THIS PRIVACY POLICY

If you’re a registered user, we’ll notify you of any significant changes to this privacy policy before you use any SheetPros applications or services again. If you’re not a registered user, you will need to check back here for updates.
